Unaccompanied Minors (UM) service

The British Airways Unaccompanied Minors (UM) service is used by around 150.000 youngsters each year.

Please note that child discount fares (e.g. children pay 75% of the adult fare) may not be applicable on some fares/routes for unaccompanied children.

Bookings for an Unaccompanied Minor* to fly with British Airways will be charged a supplement of NUC50.00 converted into local currency e.g. EUR46.00 for each single journey. For return journeys, the supplement will be NUC100.00 in local currency e.g. EUR92.00.

For longhaul travel commencing from 01 October 2009 for sales made on or after 28 July 2009, the service supplement will be NUC75.00 (or equivalent) for a single journey and NUC150.00 (or equivalent) for a return journey.Shorthaul and Domestic levels remains unchanged.

*Unaccompanied Minor (UM) means:

  • All children travelling alone** aged 5 years up to their 12th birthday on a single sector flight.
  • All children travelling alone** aged 6 years and up to their 12th birthday on a multi-sector flight.
  • All minors travelling alone aged 12 years and up to their 18th birthday for whom their parents/guardians have requested UM status.


(** ... or without a family member/appointed person aged 16 years of age or above)

Flight applications

UM travel is only applicable on BA operated flights and flights operated by BA franchise partners, booked with a BA flight number. For travel on any British Airways flight where British Airways is the marketing carrier but not the operating carrier UMs must be booked using the operating carrier’s code and UM request and rules need to be checked with the relevant carrier. 

Important: British Airways needs at least 48 hours notice that a UM is travelling. This also applies if bookings for a UM change or bookings for non UMs change into UM bookings.

 

UM request confirmation

UM booking requests will be processed through an automated tool and if request is confirmed, the booking will be queued back to agent with the UMNR keyword changed to 'KK' status. If validation failures i.e. incorrect or missing information, the booking will be queued back to the agent with a reason in the SSR OTHS field and the UMNR keyword will stay in 'HN' status. The ‘HN’ status will not change even if agent updates the UM request consequently. The UM ticket can be still  issued even with ‘HN’ status.

Important note: On DME, LED, ALG and TIP routes you need to check with your relevant British Airways Contact Center the availability for UMs before you proceed with your UM request since on these routes we can only accept a limited amount of UMs. Therefore even if you have a KK status in your UM request but you have not checked UM quota limit, boarding will be denied if UM limit has been exceeded.

UM request confirmation Q&A

Q: When can I be sure that a UM request is confirmed?
A: When you receive the KK status for the UMNR SSR.
(For travel on DME/LED/TIP and ALG routes you first need confirmation of UM service availability by calling your local BA office) Q: What happens if the UM request is not completed or correct at the time of booking?
A: You will receive an OTHS message asking for the correct/missing information while the UM booking status will remain HN.

 Q: If I update the UM request with the correct/missing info, does the UM booking status change to KK?
A: No, the status will remain HN even if the UM request is updated correctly at a later stage. The reason for this is that the UM request will run through a robotic and change HN status only at the time of UM request creation.

In order to get KK status you could, once you have added all the previously requested information, delete the UMNR keyword, end and retrieve the booking and add the UMNR keyword again. In this case the robotic would run through the same PNR once more and at this stage, if all data inserted correctly, the HN status would change to KK status.
Please be aware that if you delete UMNR keyword within 48hrs prior departure your UM request cannot be reinstated as UM bookings must be made at least 48 hrs before travel.

Q: How can I be sure that UM request is confirmed without the KK status?
A: Contact your relevant BA office to check if all data has been inserted correctly. 

Q: Can I still issue the UM ticket even with the HN status?
A: Yes you can.

How to apply the fare supplement (charge)

The charge will be levied as a supplement at the time of payment/ticketing. It will be applicable to all relevant published fare types (private fares and other not published fares are not eligible for UM travel) and all BA routes, except those operated by Comair, Loganair, Regional Air and Zambian Airways.

The fee is charged per journey
e.g. PRG - LHR(transit) - RIO: counts as one journey so one supplement (NUC50.00) will apply.
e.g. TLV - LHR - TLV: this is two journeys, so two supplements (totalling NUC100.00) will apply.
e.g. WAW - LHR - ORD - LHR - WAW: if no stopover in LON then this is two journeys, so two supplements will apply.

The supplement is filed and will appear on the ticket as a neutral unit of construction (NUC) Q surcharge of NUC50.00 (NUC 75.00 for longhaul travel commencing from 01 October 1009;For sales made on or after 28 July 2009) per single journey. It is filed in NUCs in order to facilitate use of the Q surcharge in many different currencies.

The fare supplement is fully refundable provided the refund is requested more than 48 hours before travel was scheduled to commence.

CRS mechanism

The mechanism within CRS to apply the supplement is set out below. (UM may not be booked through Trade Fare Explorer)

  1. Customers wishing to use the UM service must book with their travel agent at least 2 days prior to travel.
  2. Travel Agent must complete the booking record (PNR) for an Unaccompanied Minor in the normal way. It is important that UM entries are included in the PNR to ensure BA is notified that a UM is travelling. (For example of CRS entries for UM - See prompt below)
  3. When the PNR booking is complete - Travel agents create a fare quote for a child (or adult in the case of UMs 12 to 18 years) in the normal way as per the applicable fare rule then
    Amadeus agents quote the fare with: FXP/RU08
    U=UM/08=age of child
    Worldspan agents quote the fare with: 4PPU08
    U=UM/08=age of child
    Galileo and Sabre agents: Add the "Q surcharge" of NUC50.00 (NUC75.00) per single journey (NUC100.00 (NUC150) for a return journey, etc.) as a manual fare construction.
  4. For UMs 12 to 18 due to system limitations, the Q surcharge has to be added manually to the fare construction in all CRSs.

    Just to recap, any UM ticket issued for travel on British Airways must have the supplement paid and this must be visible as a Q surcharge. Failure to do this could result in considerable inconvenience to the UM; with the collection of additional amounts, including a possible re-issue service fee, being effected at the airport on the day or by means of an ADM to issuing agent.

UM details required when booking

The following information is required to be included in the PNR:

  • Passport details and date of birth (DOB) of child
  • Name, address and telephone number of person escorting child to airport and their relationship to child
  • Name, address and telephone number of person collecting child at their destination and their relationship to the child
  • Contact telephone number (available 24 hours) on which nominated parent/guardian can always be contacted at departing and arriving airport (very important should there be an emergency such as disruption to flights)

Important Notes

When a youngster aged 12 years and up to their 18th birthday is travelling alone, if the parent/guardian requires them to have any sort of assistance within the UM service, they must be booked as a UM. 

As there is no transfer facility between Heathrow (LHR), London City Airport (LCY) and Gatwick (LGW) for UM. BA will not accept any UM whose journey involves one.

Where a stopover exceeds 6 hours an UM will be accepted ONLY if there is a parent or guardian meeting them at their transfer point & full contact details are provided before the UM is accepted for the first flight.

If the child is travelling as an UM only on certain sectors of the itinerary you need to segment relate the UM keyword (UMNR)

BA have the right to refuse travel at the airport if the UM has not been notified prior to airport check-in.

**Before accepting any UM booking on sectors to/from DME, LED, ALG and TIP, travel agents must call their local Contact BA Center to check the limit of 14 UMs per flight have not been reached. **

This is especially important for UM bookings on the LHR-DME or DME-LHR route.

Legal requirements for italian unaccompanied minors under 14 years of age travelling from Italy:

All passengers below 14 years of age holding italian passport (or equivalent authorization for travel issued by local Police) when travelling without parents are required to obtain a statement of custody (dichiarazione di affido) signed by both parents and authorized by the police before departure.
The DICHIARAZIONE DI AFFIDO must mention the name of the person, the company or the airline looking after the child’s responsibility.
As far as British Airways is concerned, this means that italian passport holders below 14 departing from Italy without parents have to hold the "dichiarazione di affido" regularly stamped by the italian police (Questura) and request the Unaccompanied Minors procedure with the applicable charges.
